## Key takeaways

A leadership SEO dashboard answers one question first: what did search bring in?

- Lead with organic pipeline, qualified leads and revenue from your CRM. Clicks and rankings explain them underneath.
- Build it in Looker Studio (now Data Studio) with Google's free Search Console and GA4 connectors.
- Move to BigQuery when you hit 50,000 rows a day, need more than 16 months of history, or GA4 quota errors start.
- Give AI search three rows of its own: AI Overview impressions, AI Assistant visits, and how often each engine names you.
- Check the tracking before anyone reads the chart. A dashboard on broken events looks fine and says nothing.

Start with the six-row layout below, then wire one data source at a time.

An SEO reporting dashboard for leadership is one page that shows what organic search brought in this month and why. Put pipeline, qualified leads and revenue on top. Below them go the reasons: non-brand clicks to your money pages, rankings against competitors, and whether ChatGPT, Gemini, Perplexity and Google's AI Overviews name you. You can build it free in Looker Studio, which Google renamed Data Studio in April 2026. The Search Console and GA4 connectors do most of the work, and BigQuery takes over when your site outgrows them.

That's the build. The harder part is moving those numbers. Here at Searchmaxxed, we make [law firms](https://www.searchmaxxed.com/industries/legal-seo), [clinics](https://www.searchmaxxed.com/industries/healthcare-seo) and [premium builders](https://www.searchmaxxed.com/industries/construction-seo) the answer in Google and in the AI engines their buyers ask. Then we turn those answers into a steady flow of high-intent leads and pipeline, and we track which searches and AI answers turned into revenue.

## What is an SEO reporting dashboard?

An SEO reporting dashboard is a live set of charts that refreshes on its own. It pulls organic search data from Google Search Console, Google Analytics 4 (GA4), a rank tracker and your CRM. It shows today's numbers. It doesn't tell you why they moved, which is the job of the written report that sits beside it.

Most dashboards on page one of Google come from agency tools. They stack every metric they can reach: sessions, bounce rate, backlinks, keyword counts. Your CFO doesn't want that. A leadership dashboard is smaller and stricter, because each line has to change a decision about budget, hiring or priorities.

If you're choosing what goes in the monthly written report, our guide to [what an SEO report should include](https://www.searchmaxxed.com/research/seo-reporting) covers its eight sections. This page is about the live dashboard.

## What should an executive SEO dashboard show?

An executive SEO dashboard should show six rows: business results, qualified demand, money-page visibility, rankings, AI search visibility and data health, in that order. The first two say whether search is paying, and the other four say why and whether next month will look better.

Here's the layout we'd hand a CMO, and it fits on one screen.

| Row | The question it answers | What goes on it | Source |
| --- | --- | --- | --- |
| 1. Business results | What did search bring in? | Organic pipeline created, closed-won revenue | CRM |
| 2. Qualified demand | Are the right people asking to talk? | Demo, trial or quote requests sales accepted | GA4 key events, CRM |
| 3. Money-page visibility | Are more buyers finding us? | Non-brand clicks and impressions to commercial pages | Search Console |
| 4. Rankings | Where do we stand on searches that sell? | Positions for 20 to 50 priority searches, competitors beside you | Rank tracker |
| 5. AI search | Do AI answers name us? | AI Overview impressions, AI Assistant visits, mention rate by engine | Search Console, GA4, prompt tracking |
| 6. Data health | Can we trust this page? | Tracking checks, consent rate, bot filter status | GA4, tag manager |

Every number gets a comparison beside it: a scorecard with the change on it, and a time series underneath for the trend. Use the same period last year for seasonal businesses and the previous matched period for everyone else. A raw number invites the wrong question.

Keep everything else one click away on a second page: every query, every landing page, Core Web Vitals, crawl errors and backlinks. Your SEO team needs those, and your board doesn't.

Agree each row's KPI with sales and finance first; our guide to [SEO KPIs for executives](https://www.searchmaxxed.com/research/seo-kpis-for-executives) sets out the definitions, including sourced versus influenced pipeline.

## How do you build an SEO dashboard in Looker Studio?

Build it in five steps. Connect Search Console and GA4, bring in your CRM, add brand and page-group fields, then add date controls and share it. Looker Studio now goes by Data Studio, but the steps and connectors are the same, and Google moved existing dashboards over for you.

### 1. Connect Search Console

Create a data source, pick the Search Console connector, then choose your site and a table. Google gives you two tables, and one data source can only use one of them:

- **Site Impression** counts your site once per search, however many of your pages appeared. Use it for sitewide totals and the brand split.
- **URL Impression** counts each page on its own. Use it for money-page rows, because you'll filter by landing page.

For a leadership dashboard you'll usually want both, so create two data sources and put them in one report. Their totals won't match, and that's expected. Label each chart with its table.

### 2. Connect GA4

Add the Google Analytics connector and pick your GA4 property. Filter to the Organic Search channel, and use key events for the demo and quote requests you count as leads.

Two limits catch teams out. Google says GA4 segments and comparisons aren't available through this connector. And every chart spends GA4 Data API quota: a standard property gets 40,000 core tokens an hour and 200,000 a day. A busy dashboard with many charts over long date ranges can hit that ceiling on a Monday board morning.

### 3. Bring in the CRM

Pipeline and revenue live in your CRM, never in GA4. The cleanest path is a scheduled export of organic-sourced opportunities into BigQuery or a Google Sheet, then a connector from there. The Data Studio connector gallery also lists partner connectors for many sales tools, so check whether yours is there. Agree the attribution rule with sales first.

### 4. Add brand and page-group fields

Two calculated fields make the dashboard readable. The first splits brand from non-brand searches, because searches for your company name mostly reflect marketing done elsewhere. Here's the version for a made-up email security company called Acme Mail, on the Site Impression source:

```
CASE
  WHEN Query IS NULL THEN "Hidden by Google"
  WHEN REGEXP_CONTAINS(Query, "(?i)acme?mail|acmemail") THEN "Brand"
  ELSE "Non-brand"
END
```

That first line matters. To protect privacy, Google withholds rare queries, and the connector can show them as one row with a blank query. Label that bucket honestly. Otherwise your non-brand number quietly includes searches nobody can see.

The second field groups landing pages, on the URL Impression source, so the money-page row means something:

```
CASE
  WHEN REGEXP_CONTAINS(Landing Page, "/pricing|/demo|/compare/") THEN "Money pages"
  WHEN REGEXP_CONTAINS(Landing Page, "/blog/|/research/") THEN "Content"
  ELSE "Other"
END
```

Swap in your own paths. Pricing, demo, comparison, product and integration pages usually belong in the first bucket for a B2B SaaS or cybersecurity site.

### 5. Add date controls, then share

Add a date range control with comparison switched on, and set the default to the last full month. Then share the report with viewer access. Since June 2026, editors can let viewers refresh data themselves, which saves the "is this up to date?" message before every meeting.

If you'd rather start from a template, Google's own template gallery has a Search Console category, and vendors publish free ones too. Templates give you charts. They won't give you rows 1, 2 or 5, because those need your CRM, your key events and your AI tracking.

## Which data sources and connectors does an SEO dashboard need?

A leadership SEO dashboard needs five sources: Search Console, GA4, your CRM, a rank tracker and an AI visibility source. Google's two connectors are free. The rest come from vendor connectors, a Google Sheet or BigQuery.

| Source | How it gets into Data Studio | What it adds | Watch for |
| --- | --- | --- | --- |
| Search Console | Google's free connector | Clicks, impressions, CTR, position by query and page | 50,000 rows a day; hidden rare queries |
| GA4 | Google's free connector | Organic sessions, key events, AI Assistant visits | API quota; no GA4 segments |
| CRM | Partner connector, Sheet or BigQuery | Pipeline, closed-won revenue | Attribution rule agreed with sales |
| Rank tracker | Vendor connector or Sheet | Positions for priority searches, competitors | Same keyword set every month |
| AI visibility | Vendor connector or Sheet | Mentions and citations by engine | Fixed questions, repeated runs |

For AI visibility, Ahrefs added a Brand Radar connector to the gallery in May 2026, though a shared sheet of monthly prompt results works too.

## When should you move SEO dashboard data into BigQuery?

Move your SEO dashboard data into BigQuery when Google's connectors start hiding data from you. That happens for three reasons: you exceed Search Console's daily row limit, you need history beyond 16 months, or GA4 quota errors break charts. Enterprise sites usually hit all three.

Here's where each limit bites, and what it costs you:

- **Row limits.** Google says the Search Analytics API and the connector return at most 50,000 rows per day per site per search type. Large sites with thousands of pages and long-tail queries lose the tail first.
- **History.** Search Console keeps 16 months of performance data. Comparing a full year with the one before needs 24 months, so you have to store the data yourself.
- **Quota.** GA4 charts run live against the Data API. BigQuery tables don't spend that quota.

Search Console's bulk data export fixes the first two. It sends a daily copy of your performance data into BigQuery, minus anonymised queries, and skips the daily row limit entirely. Setup takes a property owner and up to 48 hours. After that, Google keeps every table forever unless you set a partition expiry, which is worth doing once storage starts to cost you money. You get two main tables, searchdata_site_impression and searchdata_url_impression, matching the connector's two.

GA4 has its own BigQuery export. A standard property can send up to 1 million events a day in the daily export, and streaming export runs alongside it.

The cost is usually small. BigQuery's published pricing gives you the first 10 GiB of storage and the first 1 TiB of query processing free each month. Data Studio's BigQuery connector then reads the tables, so you can join Search Console, GA4 and CRM data and let row 3 explain row 1.

## How do you add AI search visibility to an SEO dashboard?

Add AI search as three rows, because no single number covers it. One row counts how often Google's AI features show your pages. One counts visits from AI assistants. The third, and the one leadership cares about most, counts how often each AI engine names you when buyers ask who to choose.

Why bother? Because the shortlist now forms inside the answer. When [G2 surveyed 1,076 B2B software buyers](https://www.prnewswire.com/news-releases/new-g2-research-half-of-b2b-software-buyers-now-start-their-research-with-ai-chatbots-302742807.html) in March 2026, 69% had chosen a different vendor than planned because of an AI chatbot. AI sends few visits, but good ones. Across 97 B2B sites, [Orbit Media found](https://www.orbitmedia.com/blog/conversion-rates-ai-search/) AI sent 0.5% of visits, yet those visitors became leads three times as often as other organic visitors.

| AI row | Where it comes from | What it tells leadership | What it can't tell you |
| --- | --- | --- | --- |
| AI Overview and AI Mode impressions | Search Console's Generative AI performance report | How often Google's AI features showed your pages | Clicks, queries, or whether the answer named you |
| AI Assistant visits | GA4's AI Assistant channel | Visits and key events from ChatGPT, Gemini, Claude and others | Anything about answers that sent no visit |
| Mention rate by engine | A fixed question set run in each engine | How often ChatGPT, Gemini, Perplexity and AI Overviews name you | Revenue on its own |

### AI Overview and AI Mode impressions

Search Console's Generative AI performance report shows impressions in AI Overviews and AI Mode by page, country, device and date. Google opened it to every site worldwide on 31 August 2026. There's a catch: it isn't one of the connector's tables, so use the export button and paste the monthly total into a sheet.

### AI Assistant visits

GA4 added an AI Assistant channel on 13 May 2026 for visits from chatbots like ChatGPT, Gemini and Claude. Chart its sessions and key events beside organic search, then check the channel before anyone celebrates, because bots can fill it. We saw it happen:

A client's GA4 showed AI-assistant visits jump from 354 to 6,050 in a month. Almost none of it was real. About 5,700 came in three one-hour bursts: same 1920x1080 desktop Chrome, all new users, no referrer, about 20 seconds each, landing on two pages. Real AI traffic was 385 sessions against 354 the month before, roughly flat.

Add an hourly view of the AI Assistant channel to your second page. Real AI visits trickle in. A spike of thousands in one hour deserves a hard look before it reaches the board.

### Mention rate by engine

Neither Google tool tells you whether ChatGPT recommends you or a competitor. For that, you ask the engines. Write 30 to 50 buyer questions that don't name you, then run each one a few times in every engine and record who gets named. Chart the share of answers that name you, your AI share of voice, as one line per engine. Each engine leans on different sources, so one blended line hides the story. Our guide to [tracking AI visibility](https://www.searchmaxxed.com/research/how-to-track-ai-visibility) walks through the method. When the line stays flat, [how to show up in AI search](https://www.searchmaxxed.com/research/how-to-show-up-in-ai-search) covers what to change.

## Why do SEO dashboards show the wrong numbers?

Most wrong SEO dashboard numbers come from three places: tracking that silently fails, sources that count differently, and averages that hide what moved. The charts still render, so nobody notices. Row 6 exists to catch this.

Silent tracking failures do the most damage, because the dashboard looks healthy. Here's one we found:

A client's four enquiry types never counted as conversions. Their event names ran 41 to 50 characters; GA4 cuts at 40. The 40-character "career" event counted every time. Nobody had noticed, because the events still showed up.

So the lead row looked plausible while missing four kinds of enquiry, which is why you check every key event name before building on it. Test each form once a month, too.

Sources that count differently cause the most arguments. Search Console clicks and GA4 organic sessions won't match, and Site Impression and URL Impression totals won't either. Pick one source per metric, label it on the chart, and stick with it. Our explainer on [Search Console vs GA4](https://www.searchmaxxed.com/research/search-console-vs-ga4) covers why the gap exists and how big it usually runs.

Averages cause the most false alarms. Google defines average position using your site's topmost result, so new long-tail searches on page four drag the sitewide figure down while money pages climb. Chart position for your priority searches only. In BigQuery, mind the maths. Google counts the top spot as zero, so average position in the site table is SUM(sum_top_position) / SUM(impressions) + 1.

## Should you use Looker Studio, a dashboard tool or a managed search team?

Use Looker Studio (now Data Studio) if you have an analyst and want a free, flexible dashboard on Google's own data. Use a dashboard tool if you're an agency reporting on many clients. Use a managed search team when the problem is the numbers themselves, not the charts.

Searchmaxxed is ours. We've described it in the same terms as the other options, so you can compare like with like.

| Option | Best for | Cost | AI engines tracked |
| --- | --- | --- | --- |
| Data Studio with Google connectors | One company, an analyst, under 50,000 rows a day | Free; Pro $9 per user per project per month | AI Overviews via export; AI visits via GA4 |
| Data Studio with BigQuery | Large sites, long history, CRM joins | BigQuery storage and queries past the free tier | Same, plus anything you load |
| Dashboard tools (DashThis, Databox, Whatagraph) | Agencies sending white-label client reports | Monthly subscription; confirm with the vendor | Usually GA4 AI referrals; confirm prompt tracking |
| Searchmaxxed | High-value firms and enterprises | Quoted after a free search analysis | ChatGPT, Gemini, Perplexity, AI Overviews |

Prices are as Google Cloud publishes them on its [Data Studio](https://cloud.google.com/data-studio) and [BigQuery pricing](https://cloud.google.com/bigquery/pricing) pages, November 2026.

## What should an executive SEO report say alongside the dashboard?

An executive SEO report should say what search brought in, the number behind it, why it moved and what happens next. Three to five sentences will do it. The dashboard shows the numbers. The report is the paragraph your CEO reads before the meeting.

A strong one reads like this, written here for a made-up cybersecurity company:

Organic search created 14 accepted demo requests in October, up from 9 in September, worth $410,000 in new pipeline. Most of the gain came from two new comparison pages, which reached page one for searches against our two largest competitors. ChatGPT now names us in 11 of our 40 tracked buyer questions, up from 6. Next month we'll publish the pricing guide sales asked for and fix the trial form, which stopped counting on 18 October.

Every sentence points at a row. Those figures are invented for illustration. Your report should carry your own, with the rows that back them one click away.

## Is Searchmaxxed right for you?

We're a strong fit if you're a law firm, clinic or premium builder and your dashboard keeps telling leadership the same story. Pipeline from search is flat and competitors rank above you. Worse, when buyers ask ChatGPT or Gemini who to choose, the answers name them instead of you. You don't need prettier charts so much as rows that move.

Here's what you get. We go after the searches and AI answers that bring your buyers, then put your name on the pages those answers trust. We wire and check Search Console and GA4, and we track which searches and AI answers turned into revenue, through your CRM as well. For enterprise teams, the scope can include custom reporting. You talk to the people doing the work, with no account manager in between, and you own your site, content and data from day one. The full picture is on our [enterprise SEO](https://www.searchmaxxed.com/services/enterprise-seo) page.

One client came to us with a website that wasn't working. Three months later he was on page one for one of the most competitive searches in his industry. Now he has more high-intent leads than he can handle, and we're building the systems to handle them.

Across the client book:

Searchmaxxed's work has generated more than $15 million in revenue through search for its clients.

We're the wrong call in three cases. If you only want a dashboard, an analyst and a free Data Studio template will cost you far less. If you're an agency that needs white-label client reports, a dashboard tool fits better. And if you need leads this month just to survive, search takes longer than that.

## What should you do next?

Sketch the six rows on one page with the source for each, then check every key event name and pull this month's Generative AI export. You'll know within an hour which rows you can trust.

Want to see where your rows stand against your competitors?. We'll benchmark you against your top competitors across Google, ChatGPT and the other AI engines. We'll show you where they're named instead of you, and the few moves that will matter most.

## Frequently asked questions

### Is Looker Studio free?

Yes. Looker Studio, now called Data Studio, has a self-service edition at no charge. Google's Search Console and GA4 connectors cost nothing too. Data Studio Pro costs $9 per user per project per month and adds team management, security controls and Google Cloud support.

### Is Looker Studio now called Data Studio?

Yes. Google renamed Looker Studio back to Data Studio in April 2026, the name it carried before October 2022. Google moved existing reports across with no action needed. Most templates and guides online still say Looker Studio.

### What is the best SEO dashboard template?

The best template for leadership is one built on your CRM, key events and AI tracking, because those carry the rows executives read. Start from a free Search Console and GA4 template in Google's gallery, then add pipeline, qualified leads and AI visibility rows yourself.

### Can you show AI Overview data in Looker Studio?

Only by adding it yourself. Search Console's Generative AI performance report shows AI Overview and AI Mode impressions, but it isn't one of the connector's tables. Export the report each month into a sheet, then connect the sheet. AI Assistant visits need no workaround, because they arrive through the normal GA4 connector like any other channel.

### Can AI build an SEO dashboard for you?

It can help you explore one, but it won't design it. Data Studio's Conversational Analytics, generally available since July 2026, answers plain-language questions through data agents built in BigQuery. You still have to choose the six rows, agree the definitions with sales and check that every key event fires.

### How often should an SEO dashboard refresh?

Daily is plenty for a leadership dashboard, and that matches the data: Search Console's bulk export to BigQuery lands once a day. Leadership should read it monthly, on matched periods, so one noisy week never drives a decision.

### Do you need BigQuery for an SEO dashboard?

Only at scale. Google's connectors handle most sites up to 50,000 Search Console rows a day and 16 months of history. Large sites, long comparisons and CRM joins need BigQuery, and its free tier covers 10 GiB of storage and 1 TiB of queries a month.
